How many people will attend WordCamp Canada 2025?
Last year, WordCamp Canada sold 300 tickets. We have a total of 300 tickets for sale and are on track to sell them all again. Typically half of all ticket sales happen in the last 30 days before the event. You can help by spreading the word in your networks! Use our media kit.
What kind of people and organizations will attend WordCamp Canada 2025?
People who lead and work for hosting companies, small to large agencies, and plugin shops. Designers, developers, small business owners, creators, non-profit organizations, and academic institutions. They are all represented in our attendees, speakers, and sponsors this year. You can also look at last year’s attendees, speakers, and sponsors to get a sense of who attends WordCamp Canada. What are the key dates and deadlines for WordCamp Canada sponsors before the conference?
- October 1: Call for Sponsors Closes
- Booth assignments and floorplan are determined.
- Digital and print media assets, social media content, and blog posts are due.
- October 8: Deadline to receive swag shipped in advance.
- Please ensure your shipped items arrive on or before October 8.
- October 15: Contributor Day / Day 0
- Doors open at Richcraft Hall for booth setup at 7:00 AM.
- Contributor Day and conference attendee registration begins at 9:00 AM.
What is the full schedule for WordCamp Canada, including side/social events?
Here’s the full schedule for Contributor Day and the regular sessions, October 15-17.
- The Speaker-Sponsor Dinner will take place the evening of October 15.
- Sponsors’ side events will take place the evening of October 16.
- The Afterparty will take place the evening of October 17.
We’ll announce more details about side events as sponsors and venues are confirmed.
How do sponsors get their free tickets?
Please contact the conference organizers if you have not receive a coupon code for your tickets.
What is the floorplan and dimensions for sponsor booths?
Booth enclosures will be set up in advance of the event by Carleton’s conference services team in the Richcraft Hall Atrium.
- Regular (exclusive) sponsor booths are standard 10’x10′ enclosed or unenclosed spaces with a display table and chairs.
- Shared booths divide a 10’x10′ space between two sponsors.
- Please review the atrium floorplan and tentative layout for sponsor booths.
- We’ll publish the finalized floor plan after October 1.
How early can booths be set up and occupied?
The earliest setup time for sponsors is 7:00AM on October 15.

What are the rules for sponsors and their marketing at WordCamp Canada?
Please be aware of and follow the WordCamp Sponsorship Rules concerning marketing do’s and don’ts.
How do “branded areas” work?
Laurentian sponsors get to brand an area in the main event venue.
We’ll share more information about this as the last sponsors are confirmed.
Can sponsors ship swag and booth materials to conference organizers in advance?
Yes, relatively small packages can be shipped to our Ottawa venue team in advance. Contact us for more details.
Is there storage available to sponsors at the conference venue?
Yes. On-premise storage at Carleton costs $250/day and requires a precise accounting in advance: what is arriving, when and how it’s arriving, its weight and dimensions. Contact us for more details.
Is there a local print shop sponsors should use?
We’re using the Carleton University campus print shop, and you can too. It’s not a requirement, however.

Sponsorship Benefits and Engagement Opportunities
Circles (Networking Events)
At scheduled times throughout the event, we will facilitate sponsor-led networking circles where attendees can engage in targeted discussions. These circles allow sponsors to connect directly with their ideal customer segments. This opportunity is exclusive to Confederation and Northern Lights sponsors, with a total of six slots available over two days.
Activity Sponsorship – Evening Dinners
To foster high-value networking opportunities, we are coordinating intimate dinners at restaurants across the city. These dinners are capped at 30 people and operate on a first-come, first-served basis. As organizers, we handle the logistics, while sponsors cover the cost of drinks (with the option to cover more). This exclusive opportunity is available to Global, Confederation, and Northern Lights sponsors.
Content Marketing Opportunities
Sponsors receive brand exposure through blog posts and social media mentions. Higher-tier sponsors receive individual recognition, while lower-tier sponsors are grouped together in promotional materials. This ensures fair visibility for all sponsors while giving premium sponsors a higher level of exposure.
Booth and Exhibit Space
For companies wanting a physical presence at the event, we offer dedicated and shared booth spaces:
- Exclusive Booth/Table: Confederation and Northern Lights sponsors receive a dedicated 6β table in the sponsor area. Confederation sponsors also receive an end-cap placement, providing additional space.
- Shared/Scheduled Booth/Table: Great Lakes and Maple Leaf sponsors can choose between sharing a booth with another sponsor or having a scheduled time slot at a designated table.
On-Site Branding & Visibility
All sponsors receive brand exposure through slide decks displayed between sessions, swag bag inserts, and on-stage acknowledgments. Sponsors at the Laurentian tier ($1,000 CAD) can also claim exclusive branding opportunities such as coffee carts, meal sponsorships, snack stations, and after-party branding. These branded opportunities are assigned on a first-come, first-served basis.
